PRIVACY POLICY

This Privacy Policy is issued in compliance with the Data Privacy Act of 2012 (Republic Act No. 10173) and its Implementing Rules and Regulations, as enforced by the National Privacy Commission (NPC) of the Philippines.

1. Who We Are (Data Controller)

PickleBarn ("we", "us", "our") operates the pickleball court booking platform at thepicklebarnph.xyz. We are the personal information controller responsible for your data collected through this platform.

2. What Information We Collect

We collect the following personal information when you register and use our Service:

  • Full name — for booking identification
  • Email address — for account creation and booking notifications
  • Phone number — for booking contact purposes
  • Payment receipt images — uploaded by you to confirm GCash payment; stored securely and used solely for payment verification
  • Booking history — dates, courts booked, amounts paid

We do not collect sensitive personal information such as government IDs, financial account numbers, or health data.

3. How We Use Your Information

Your personal information is used for the following purposes:

  • To create and manage your account
  • To process and confirm court bookings
  • To send booking confirmation, denial, and reminder emails
  • To verify payment receipts
  • To respond to your inquiries and provide customer support
  • To comply with legal obligations

We do not use your data for marketing, advertising, or sell it to third parties.

4. Legal Basis for Processing

We process your personal information on the following legal bases:

  • Consent — you provide consent at registration by agreeing to this Privacy Policy
  • Contractual necessity — processing is necessary to fulfil your booking request
  • Legal obligation — as required by applicable Philippine laws

5. Data Sharing & Third Parties

Your personal information may be shared with the following, strictly as needed:

  • Supabase — our database and authentication provider (data stored on servers with appropriate security measures)
  • Resend — our transactional email service (your email address is used to deliver booking-related emails)
  • Vercel — our hosting provider (processes requests but does not store personal data)

All third-party service providers are bound by their own privacy and security commitments. We do not share your data with any other parties without your explicit consent, unless required by law.

6. Data Retention

We retain your personal information for as long as your account is active or as needed to provide the Service. Booking records are retained for a minimum of 2 years for operational and legal purposes.

You may request deletion of your account and personal data at any time (see Section 8).

7. Data Security

We implement appropriate technical and organizational measures to protect your personal information from unauthorized access, disclosure, alteration, or destruction. These include:

  • Encrypted data transmission (HTTPS/TLS)
  • Row-level security policies on our database
  • Access restricted to authorized personnel only
  • Secure storage of uploaded payment receipts

In the event of a personal data breach, we will notify affected users and the National Privacy Commission within 72 hours of becoming aware of the breach, as required by RA 10173.

8. Your Rights as a Data Subject

Under the Data Privacy Act of 2012, you have the following rights regarding your personal information:

  • Right to be informed — know how your data is being used
  • Right to access — request a copy of your personal data we hold
  • Right to rectification — correct inaccurate or incomplete information
  • Right to erasure — request deletion of your personal data, subject to legal retention requirements
  • Right to object — object to the processing of your personal data
  • Right to data portability — receive your data in a structured, commonly used format
  • Right to damages — seek compensation for violations of the Data Privacy Act

9. Cookies & Local Storage

Our platform uses browser local storage (not cookies) to maintain your login session via Supabase Authentication. This data is stored locally on your device and is not transmitted to third parties. Clearing your browser data will log you out.

10. Children's Privacy

The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from minors. If you believe a minor has provided us personal data, please contact us immediately.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify registered users by email of any material changes. Continued use of the Service after updates constitutes acceptance of the revised Policy.
